Your Talent
- Highschool Diploma
- 7-10 years of experience as an Executive Assistant in a fast-paced, high growth environment supporting C level executives
- Experience working in footwear & apparel wholesale and retail industry is preferred.
- Proven mastery of MS Office applications, including Word, Excel, PowerPoint and Outlook; ability to design and edit graphic presentations and materials
- Interest and experience in interacting with all departments and levels within a company, as well as outside vendors
- Exceptional written and verbal communication skills
- Strong organizational skills, detail-oriented, proactive and the ability to handle multiple tasks
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
- Able to maintain a high level of integrity and discretion in handling confidential information
Your Mission
- Coordinate, schedule and manage complex, high-volume domestic and international travel arrangements, including flights, accommodations, ground transportation, and detailed itineraries, ensuring seamless execution and alignment with executive preferences and business priorities.
- Provide sophisticated calendar management: prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day to day operations.
- Act as concierge for international executive team by offering support during visits and travel to Somerville office.
- Arrange and handle all logistics for on-site and off-site meetings and events: schedule meetings; draft agendas; develop, compile, and distribute presentation materials.
- Complete a broad variety of administrative tasks, including but not limited to:
- Process invoices from purchase requisition creation through goods receipt
- Plan and manage complex international and domestic travel arrangements
- Manage and track expenses; complete expense reports
- Review and approve President’s direct reports activities such as expenses and vacation requests in accordance with Company policies
- Proofread documents
- Maintain contact lists
- Work closely and proactively with the President to keep her well informed of upcoming commitments and responsibilities, following up appropriately: act as a “barometer,” having a sense for the issues taking place and keeping President updated; Anticipate needs in advance of meetings, conferences, etc. Prioritize daily schedule and commitments accordingly.
- Provide "gatekeeper" and "gateway" role, providing a bridge for smooth communication between the President and staff, demonstrating leadership to maintain credibility, trust, and support with the Executive Team. Complete projects by assigning work to appropriate staff, including the Executive Team, on behalf of the CEO.
- Prepare company and department presentations, prepare written correspondence and emails for daily, monthly and quarterly meetings.
- Manage event registration and accommodations for international meetings for all attending employees.
- Assist with the on-site coordination and execution of company townhall meetings and special events.
- Budget management.
- Actively drive special projects as assigned.
- Support the Senior Leadership Team, including maintaining close relationships with key Sales stakeholders, wholesale accounts and partners.
