Your Mission

Are you an organized and service-minded individual who thrives in a dynamic environment? We’re looking for a part-time Office & P&O Administrator to join our team in Helsingborg, supporting the smooth day-to-day operations of our office and People & Organization (P&O) activities across the Nordics. This position begins with a 6-month employment contract.

What You Will Do

  • Managing office service delivery in Helsingborg with suppliers, e.g., cleaning, maintenance, coffee machines, waste services, food & fruit delivery, office supplies

  • Serving as the first point of contact for contractors, handymen, electricians, etc.

  • Managing the process for sending packages with freight companies including creating labels

  • Registering P&O invoices in SAP & sending for internal approval

  • Arranging regular breakfasts, fikas & conference lunches for employees & external visitors

  • Arranging events for employees & external visitors, including planning, budget control, ordering supplies & coordination

  • Welcoming unexpected visitors & answering general queries

  • Keeping track of entry/exit lists and managing allocation of keys/electronic entry tags

  • Managing the pool car process in Helsingborg & allocation of Brobizz bridge tags

  • Coordinating work environment tasks in Helsingborg: conducting quarterly fire safety checks, maintaining work environment documentation, refilling first-aid kits

  • Supporting P&O team with admin tasks such as sending calendar invites, updating information on Sharepoint, filing key documents, etc.

  • Providing remote support to Stockholm office during absences of Stockholm Office & Engagement Coordinator

  • Completing ad-hoc P&O support tasks as needed
